Verify Transmit

The activity or batch status from each clock  may be verified to ensure complete record keeping.

Step 1

Viewing the batch status of each clock is accessed through the Administration  link.  A Verify Transmit  link is listed in the Administration  menu (see illustrations below).

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

Step 2

Evaluate each of several provided columns.  If the batch was successful, meaning all the activity was received and the settings were updated, you will see an "OK"  reading under the Batch Status  column.  If the status reads "INC", the batch was incomplete; not all punches were received.  The clock and the server will automatically update the punches on the next connect, or the next day.

Commonly, if a batch comes out incomplete, it is because the result of an odd number of punches.  The incomplete punches will be sent with the next batch; however, if a completed batch is NEEDED, an extra "bogus" punch added will complete the batch; then manually delete the punch.

Reminder: The terminal will store up to 5000 punches at a time.  The information will not be lost if the terminal is disconnected or if power is lost.

Frequently Asked Questions

Q.  Why does the Last Transmit list show my clock with a red or yellow color?

A.  The color means that we have not heard from the clock in a while (a day or two).  You may want to check the clock and make sure it has power and a phone line.  Then do a manual transmit by pressing the 9 key.

Q.  What causes incomplete transmissions?

A. The following are reasons why we may show an incomplete transmission:

  • Transmission was canceled by a user (by pressing the CLEAR/CANCEL button)
  • Someone tried to use the phone that the clock is connected to.  (Note:  Other devices, such as burglar alarms, will use the phone late at night to report to their monitoring stations.)
  • If the line has Call Waiting, and someone calls on the line during a transmit, the connection will often be interrupted by the call waiting beep.  See your clock's manual for instructions on disabling Call Waiting.
  • Noise or static on the line can cause transmission problems.

Q.  If a transmission is canceled or incomplete, does the clock "lose" punch data?

A.  Incomplete transmissions are automatically resolved on the next transmit.  The server ensures that no information is lost, and the clock erases the punches from its memory only after it has confirmed that the server received them all.

Q.  What can cause the clock to not be able to transmit?

A.  There are several reasons why the clock may not be able to transmit:

  • The clock may be disconnected from the phone line.
  • The phone line that the clock is connected to may be off-the-hook or continuously in use.
  • If the clock has been unplugged from the power outlet, it won't transmit.
  • If the clock is left on a screen where it is waiting for a card swipe or keyed information from the user, the clock will not transmit until either the information is provided, or the user presses CLEAR or CANCEL to get out.  The clock only transmits when it is at its idle date/time screen.
  • If you recently changed phone companies or installed a new phone system that requires the clock to dial 9 or other digits to place a call, it may not be able to reach the server.

Q. How can I force my clock to transmit its information now?

A.  Simply press the 9 key from the normal date/time screen, and it will transmit immediately.

Q. Why do I often see 0/0 punches transmitted?  We are using our clock, so the number of punches should be higher.

A.  We set many customer clocks to dial in twice during the middle of the night (as an example, once at 1:00 am and once at 5:00 am).  This gives the clocks a second chance in case they could not connect the first time.

The number of punches transmitted always refers to the last time the clock connected - in the case of our example, that would be the number of punches that came between 1:00am and 5:00 am.  As long as the batch status shows OK, all of the punches have been successfully received by the server.

Q.  Which time zone does the "Last Heard From" refer to?

A.  The time zone is the local time where the clock is located.  If the clock is in Florida, then the time shown is Eastern.
