Clock In and Out

Employee Setup

The system offers multiple methods of collecting punches, clocking in and out. 

Standard procedures for a punch traditionally will involve the swipe of a badge card, entering a Social Security Number or entering an employee code. These options are setup in an employee's personal setup file. Note: As multiple options may be setup for an employee to create a punch, each option may be used at any time.

The extent to which the system may gather punches is as follows (all of these settings are made in each employee's personal setup file):

Method 1.  Employee can always enter their personal Social Security Number as a first or final resort.
Method 2.  Employee may swipe a badge card. *Multiple color-coded badge cards exist.  Employees with a specific colored card may be setup to receive special clock prompts that employees holding cards of other colors will not see (see the Clock Prompts  page for details).  (enter for Card Number 1, 2 and 3)
Method 3.  Employee may enter personal assigned code.  (enter for Card Number 1, 2  and 3)
Method 4.  Employee may use the online WebClock or VoiceClock. (enter for Web Password)
 

Step 1

To access the personal employee files, click on the Employee Setup  link from the Main Menu (see illustration)

NOTE: The company Employee Setup screen serves as both a navigational tool with hyperlinks to each employee's personal file and as a summary tool, as you can customize each of the columns displayed. The screen tool-bar includes a drop-down  menu containing all the Employee Setup items, associated with table buttons such as Show Column   and Hide Column to specify the table's display (see illustration below).

 

 

Step 2 From the setup screen you may operate in one of three ways: add new  employee record; work with an individual employee by clicking on the desired name or work with multiple employees simultaneously by checking each individual's corresponding check-box along with the work with selected employees button provided below the table (see illustration above). When setting up a clock-in method, work with each employee individually.

Method 1: To allow a clock-in using the Social Security Number, enter the number into the SSN entry box.

Note: The SSN is mandatory for each employee file to operate.

Methods 2 & 3: To assign a badge to an employee, multiple badges of different colored cards or a personal code, enter the badge number (back of card) or the new code into the appropriate entry boxes termed Card Number 1, 2  and 3.  A help pop-up display containing item descriptions is available for all setup terms.  Open by clicking on the item link (see illustration).

Step 4

Method 4: The Web Clock: using this tool will enable employees to clock in and out online or view their personal time card via their web browser.  

1. Punching in and out using the Web Clock, or viewing your personal time card as an employee, is accomplished in the Employee Login link.
2. By selecting the Employee Login link, you've now accessed all functions of the Web Clock. You may perform one of two tasks from this frame: clock in and out OR view your personal time card in the View Timecard link (see illustration).
